The Alliance of Portuguese Clubs and Associations of Ontario (ACAPO) is a non-profit organization dedicated to representing the interests of the Luso-Canadian community in Ontario. We are committed to protecting the privacy of our members, scholarship applicants, and website visitors.

2. What Personal Data We Collect and Why We Collect It
Scholarship Applications

When students submit applications for ACAPO scholarships, we collect personal information including names, addresses, academic records, and reference letters. This data is used solely by the ACAPO Scholarship Committee for the purpose of evaluating and awarding scholarships. It is not shared with third parties outside of the selection process.

Contact Forms & Gala Registration

If you use our contact forms or register for events (such as the Annual Scholarship Gala), we collect the data shown in the form (such as your name, email address, and phone number) to assist with your inquiry or event registration.

Member Organizations

We maintain a directory of our member clubs and associations. Contact information for these organizations is published on our website with their consent to facilitate community interaction.

Cookies

f you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

If you log in (for member access), we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded Content from Other Websites

Articles on this site may include embedded content (e.g., videos, images, maps). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites (such as YouTube or Google Maps) may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction if you have an account and are logged in to that website.

Orders & Payments

When you purchase tickets, pay membership dues, or buy products from us, we ask you to provide information including your name, billing address, email address, phone number, and optional account information like username and password. We use this information to:

  • Process your payments and prevent fraud.

  • Set up your account for our store.

  • Comply with any legal obligations we have, such as calculating taxes.

  • Send you messages about your order (e.g., ticket confirmations or renewal notices).

If you create an account, we will store your name, address, email, and phone number, which will be used to populate the checkout for future orders.

WooCommerce Cookies

We use cookies to keep track of cart contents while you’re browsing our site.

  • woocommerce_cart_hash and woocommerce_items_in_cart help WooCommerce know when the cart data changes.

     

  • wp_woocommerce_session_ contains a unique code for each customer so that it knows where to find the cart data in the database for each customer. No personal information is stored within these cookies.

3. Who We Share Your Data With

We do not sell or trade your personal data.

  • Scholarship Data: Shared only internally with the Scholarship Committee and relevant Board Members.

  • Event Data: Shared with necessary service providers (e.g., venue catering for dietary restrictions) strictly for event logistics.

  • Legal Compliance: We may disclose information if required to do so by law.

Payment Processors

We accept payments through third-party processors (such as Stripe or PayPal). When processing payments, some of your data will be passed to these processors, including information required to process or support the payment, such as the purchase total and billing information.

  • We do not store your full credit card details on the ACAPO servers.

4. How Long We Retain Your Data

  • Website Accounts: For users that register on our website (if any), we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

  • Scholarship Records: Applications are retained for a period necessary to complete the selection process and audit requirements, after which they are securely destroyed.

5. What Rights You Have Over Your Data

If you have an account on this site, or have applied for a scholarship, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
